Terms of Service

1. General Provisions
These Terms of Service (the "Terms") govern the use of the MediVox service.

Definitions:
- Service: the MediVox AI phone assistant platform, available at app.medivox.hu.
- User: the medical or dental clinic registering for the Service, or its representative.
- Patient: the person calling the clinic and interacting with the AI assistant.
2. Description of the Service
MediVox provides:
- AI-based phone call handling in 7+ languages (Hungarian, English, German, Romanian, Slovak, Russian, Ukrainian)
- Automated appointment booking, rescheduling and cancellation
- Outbound AI confirmation and reminder calls
- Email appointment confirmations
- Two-way Google Calendar sync
- Admin dashboard for call and booking management
- Warm transfer to a human agent
The Service does not provide medical advice, diagnosis or therapy recommendations. The AI assistant performs administrative tasks only.
3. Registration and Account
Registration at app.medivox.hu is required to use the Service. The User is responsible for the accuracy and currency of the data provided at registration.
The User must keep account credentials confidential and is responsible for all activity performed via the account.
4. Subscription and Payment
The Service is available in the following subscription plans:

Prices are net; VAT is added in accordance with applicable law. Invoicing is monthly in advance. Payment is by bank transfer or online payment.
In case of late payment the Provider may charge statutory default interest and, after an unsuccessful 15-day grace period, suspend the Service.
5. Free Trial
The Provider offers a 14-day free trial to every new User. The full functionality of the Service is available during the trial. After the trial, continued use requires a paid subscription.
6. Service Level (SLA)
The Provider commits to the following service level:
- Availability: 99.5% monthly uptime (excluding planned maintenance)
- Planned maintenance: announced in advance, ideally outside office hours
- Incident response: within 4 hours on business days for critical issues
The SLA does not cover force majeure events, third-party service outages (e.g. Google Calendar API, telecom providers) or technical issues on the User's side.
7. User Obligations
The User shall:
- Use the Service only for lawful purposes
- Provide accurate and current information
- Inform patients about the AI-based call handling
- Comply with healthcare regulations applicable to their activity
- Not attempt to hack, overload or reverse-engineer the Provider's systems
8. Intellectual Property
The MediVox name, logo, software, algorithms and related intellectual works are the Provider's exclusive property. Using the Service does not transfer any IP rights to the User.
Data entered into the system by the User (clinic data, settings) remains the User's property.
9. Limitation of Liability
The Service is provided "as is". The Provider's liability is limited to the subscription fee paid by the User in the given month.
The Provider is not liable for:
- The medical accuracy of AI responses (the system does not provide medical advice)
- Errors or outages of third-party services
- Issues arising from the User's internet connection
- Service interruptions caused by force majeure (natural disaster, war, epidemic, government action)
10. Data Protection
Detailed information on personal data processing is provided in the Privacy Policy. The Provider processes personal data in accordance with the GDPR and Hungarian data protection law.
Upon User request, the Provider will execute a Data Processing Agreement (DPA) with the User.
11. Termination
11.1 Termination by the User
The User may terminate the subscription at any time, effective at the end of the next billing cycle, via the admin interface or by written notice to info@medivox.hu.
11.2 Termination by the Provider
The Provider may terminate the contract with immediate effect if the User materially breaches these Terms, is more than 30 days late on payment, or uses the Service for unlawful purposes.
11.3 Data After Termination
After termination the User has 30 days to request data export. Following the 30-day period the Provider deletes the User's data, except where retention is required by law (e.g. billing records: 8 years).
12. Complaints
Complaints may be submitted at info@medivox.hu. The Provider investigates complaints and responds in writing within 15 business days of receipt.
13. Governing Law and Disputes
These Terms are governed by Hungarian law. The parties seek to resolve disputes first by negotiation. Failing this, the Budapest District Court for the 2nd and 3rd Districts or the Metropolitan Court of Budapest has jurisdiction.
14. Changes to These Terms
The Provider reserves the right to amend these Terms. Material changes will be communicated to Users by email at least 30 days before they take effect. Continued use of the Service after the changes take effect constitutes acceptance of the amended Terms.
